2. Website, hosting and security

Technical data such as IP address, time, requested page, browser information and errors are processed to deliver this website and detect attacks. The legal basis is Article 6(1)(f) GDPR, reflecting our legitimate interest in secure, reliable operation.

We use Hostinger for hosting, delivery and email. The web server is in the Netherlands and hosting backups are in Lithuania. Hostinger describes processing and subprocessors in its Data Processing Addendum. Technical logs are retained for operation, troubleshooting and abuse detection; security incidents may require longer retention for investigation.

3. Contact and quote requests

We process the contact, company and premises details, cleaning requirements and messages you provide to answer your enquiry and prepare a quote. The basis is Article 6(1)(b) GDPR where you request steps towards a contract, or Article 6(1)(f) GDPR for business correspondence, particularly with company representatives.

The form requires company, name, email, space type, postcode and floor area. Frequency, time and supplies selections can indicate that your wishes are still open. Phone, further premises details and notes are optional. The form cannot be submitted without required information; you can contact us directly instead. Please do not submit access codes or particularly sensitive information.

Enquiries are sent through Hostinger Mail to our business mailbox, with an internal copy to an Apple iCloud Mail account used by the owner. That personal mailbox address is not published. The website does not create a separate customer database. Recipients are the owner and technical hosting and email providers. Enquiries are not used for marketing newsletters.

4. Email providers and international processing

We also use Apple through iCloud Mail. Under Apple’s privacy policy, Apple Distribution International Limited in Ireland is responsible for personal data relating to EEA individuals. Processing may take place in the US; Apple identifies Standard Contractual Clauses for international transfers. Hostinger’s Data Processing Addendum describes safeguards for possible transfers outside the EEA, including Standard Contractual Clauses. Information and copies of applicable safeguards may be requested through the privacy contacts listed there.

5. Retention

Enquiry retention depends on handling your request, follow-up questions, any resulting contract, and applicable legal retention or evidence requirements. Data must be deleted when no longer needed unless a legal obligation or legitimate need to preserve legal claims applies. This also covers the internal email copy. Hosting backups support recovery and follow the provider’s backup cycle.

6. Essential cookie and abuse prevention

We do not embed analytics, advertising or social-media tracking services. Images, fonts and website scripts are served locally. The contact form uses the essential session cookie cib_session to protect against forged requests. It is set as a session cookie with no fixed expiry; the form security token is valid for at most 30 minutes. The cookie basis is section 25(2)(2) TDDDG; associated data processing relies on Article 6(1)(f) GDPR.

Abuse prevention counts submissions using a daily-changing, secret-based hash of the IP address. A counter applies for one hour. Old counter files are cleaned up during later submissions; without further submissions they may remain until the next cleanup. The counter does not store the plain IP address.

7. Your rights

Subject to the statutory conditions, you have rights of access, rectification, erasure, restriction and portability. You may object to processing under Article 6(1)(f) GDPR on grounds relating to your particular situation. Where processing is based on consent, you may withdraw it for the future. You may complain to a supervisory authority, particularly where you live, work or suspect an infringement. In Berlin: Berlin Commissioner for Data Protection and Freedom of Information. We do not carry out profiling or automated decisions with legal or similarly significant effects.
